This Privacy Policy applies to personal information we collect through our website www.edifyscreening.com (the “Site”) and through the services provided by EDIFY, including background screening, credentialing, and verification services (collectively, the “Services”).
If you do not want us to handle your personal information as described in this Privacy Policy, please do not use the Site.
Who this Privacy Policy covers
This Privacy Policy applies to all individuals who interact with EDIFY, including:
- Website Visitors: people who visit or interact with our public Site
- Clients: individuals and organizations that engage EDIFY for Services
- Consumers / Applicants: individuals whose personal information is processed in connection with a background screening or verification requested by a Client

1. Legal Basis for Processing (where applicable)
EDIFY processes personal information only when permitted by law. Depending on your location and the context, our legal basis may include:
- Performance of a contract (for example, providing Services to a Client)
- Compliance with legal obligations (for example, identity verification and recordkeeping)
- Consent (where required)
- Legitimate interests, where those interests do not override your rights and freedoms
2. What Personal Information We Collect
A. Information you give us
We collect personal information you choose to provide, such as when you:
- submit a form, inquiry, or request on the Site
- communicate with us by email, phone, or other channels
- create or administer an account (if applicable)
- engage us for Services (Clients)

B. Information collected in connection with background screening and verification (Consumers/Applicants)
When we perform screening or verification Services on behalf of Clients, we may process personal information such as:
- identifiers (for example, name, date of birth, address history)
- government identifiers where permitted (for example, Social Security number, driver’s license number)
- employment, education, professional license, credentialing, and related verification information
- other information needed to complete a requested screening or verification, consistent with applicable law and Client authorization
C. Information we collect through technology on the Site
When you visit the Site, we (and service providers working on our behalf) may collect:
- device and browser information
- IP address and general location (derived from IP)
- pages viewed and actions taken on the Site
- referral/exit pages and approximate visit time and duration

3. How We Use Personal Information
We use personal information for legitimate business purposes, including to:
- provide and administer the Site and Services
- conduct background screening, credentialing, and verification Services requested by Clients
- communicate with you (including responding to inquiries and providing support)
- maintain quality control, training, auditing, and compliance programs
- prevent fraud, misuse, and security incidents
- comply with legal and regulatory obligations (including the Fair Credit Reporting Act (FCRA) where applicable)
- enforce our agreements and policies
We do not sell personal information.
We do not share personal information with third parties for their marketing or promotional purposes.
We do not share personal information for cross-context behavioral advertising.
4. How We Share Personal Information
We share personal information only as necessary to operate our business, provide Services, and comply with law. Examples include:
A. With Clients (screening results and related information)
If you are a Consumer/Applicant, we may share information and results with the Client that requested the screening or verification, consistent with the Client’s authorization and applicable law.
B. With service providers and vendors
We may share information with third-party service providers that support our operations (for example, hosting, security, data retrieval, identity verification, customer support tools). These providers are contractually required to protect information and may access it only as needed to perform services for us.
C. Legal and compliance reasons
We may disclose information to comply with applicable laws and regulations, respond to lawful requests, subpoenas, court orders, or to protect rights, safety, and security of EDIFY, our Clients, Consumers/Applicants, or others.
D. Business transfers
If EDIFY is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be disclosed or transferred as part of that transaction, subject to appropriate safeguards.
5. SMS Messaging and Mobile Information Sharing (Required Provision)
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
6. Consumer Rights and Choices
Depending on your jurisdiction, you may have rights such as:
- access to personal information we maintain about you
- correction of inaccurate or incomplete information
- deletion (where applicable)
- restriction or objection to certain processing

Important note for Consumers/Applicants: If your request relates to a background check performed for an employer or other Client, some requests may need to be handled in accordance with FCRA and other applicable laws and processes.
6A. California Privacy Rights (CCPA/CPRA)
If you are a California resident, you may have the following rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA/CPRA”), subject to certain exceptions:
- Right to Know/Access: You may request information about the categories of personal information we collected about you; the categories of sources; the business or commercial purposes for collecting, using, or disclosing personal information; and the categories of third parties to whom we disclose personal information. You may also request access to specific pieces of personal information, where applicable.
- Right to Delete: You may request deletion of certain personal information we collected from you, subject to legal exceptions.
- Right to Correct: You may request that we correct inaccurate personal information we maintain about you.
- Right to Opt Out of Sale/Sharing: EDIFY does not sell personal information. EDIFY also does not share personal information for cross-context behavioral advertising (as “share” is defined under the CCPA/CPRA).
- Right to Limit Use/Disclosure of Sensitive Personal Information: Where we process sensitive personal information (such as government identifiers where permitted), we use and disclose it only as necessary to provide our Services, maintain security, prevent fraud, and comply with legal obligations.
- Non-Discrimination: We will not discriminate against you for exercising your privacy rights.
How to Submit a California Privacy Request

If you use an authorized agent, we may require proof of the agent’s authorization and may also require you to verify your identity directly with us.
Important Note for Consumers/Applicants
EDIFY is a consumer reporting agency and provides screening and verification services on behalf of Clients. If your request relates to a background check performed for an employer or other Client, some requests may need to be handled in accordance with the Fair Credit Reporting Act (FCRA) and other applicable laws and processes.
7. Information Security
EDIFY uses administrative, physical, and technical safeguards designed to protect personal information, including:
- secure data storage and encrypted backups (where appropriate)
- role-based access controls and multi-factor authentication (where appropriate)
- network security tools such as firewalls and monitoring
- secure transmission methods (for example, SSL/TLS)
- routine monitoring and compliance-focused reviews
No system is 100% secure, and we cannot guarantee absolute security. However, we work to protect information using reasonable and appropriate safeguards.
8. Data Retention
We retain personal information only as long as necessary to fulfill the purposes described in this Privacy Policy, including to meet legal, regulatory, contractual, and audit requirements. When retention is no longer required, we securely destroy or anonymize information in accordance with our retention practices and applicable law.
